Managing Tags

A Tag is a keyword or term assigned to an Article that provides a means for completing quicker, and grouped searches for the Article.

In Knowledge Base, the Articles can be assigned to one or multiple Tags. The Tag assignment is managed in Tag Management.


Create a Tag

  1. Navigate to Data Management → Tag Management (1)
  2. To add a new Tag definition, click on the New Tag button (2)
  3. Type the Tag and add a Description

  4. Save the new tag.

Edit a Tag

  1. Navigate to Data Management → Tag Management (1)
  2. In the Gear button 
    to the left of the tag entry, select Quick Modify or click the tag name.
  3. In the Modify Tag window type the changes in the Tag name and/or the Description

Merging Tags

On occasions, you may need to reorganize and consolidate Tags in your Articles. This can be done by using the Merge functionality for Tags.
For example, if there are three articles all with similar tags, those tags could be combined into another singular tag,

  1. Navigate to Data Management → Tag Management (1)
  2. If the tag you want to consolidate into doesn’t exist, create the new tag following the steps in the Create a Tag chapter.
  3. In the Gear button 
    to the left of the tag entry, select Merge from the drop-down list.
  4. In the Select target Tag for merging window, select the Target Tag from the drop-down list.
  5. Click the Merge button.

    The merged tag (former) will be removed from the KB and all the articles that were assigned to the former tag will be updated to the new target tag.

Delete a Tag

  1. Navigate to Data Management → Tag Management (1)
  2. To delete a tag, select Delete from the gear icon 

    (2) next to the Name of the tag to delete.

  3. Click the Yes button to confirm to proceed to delete it.

    The Tag will be deleted from the system and removed from all the Articles that had the Tag assigned.

Creating a Tag from Within an Article

If you are confident that an existing Tag that you wish to use doesn’t already exist in the KB, you are able to create a Tag directly within an Article.

  1. In the Article editor, go to the General Info tab (1)
  2. In the Tags field, type the new tag.
  3. Save the article

    Use dashes (-) or underscores (_) when naming the Tag because the coding recognizes the space ( ) as a Return and it will add your Tag at the moment you press the space key.
